Terms & Conditions of Service

Tricitie Edition (Pty) Ltd (“Tricitie Edition”, “we”, “us”, “our”) is a travel management and production company registered in the Republic of South Africa. These Terms & Conditions (“Terms”) govern all services provided by Tricitie Edition to clients worldwide, including clients based in South Africa, the United States, and Europe.

By instructing us, paying any deposit or invoice, signing any proposal, or confirming any booking, you (“Client”, “you”, “your”) agree to be legally bound by these Terms.

1. Our Role

Tricitie Edition acts as a travel manager, coordinator and intermediary. We arrange services supplied by independent third-party providers (“Suppliers”), including airlines, hotels, transport companies, tour operators, guides, venues and production partners.

Unless expressly stated in writing, Tricitie Edition does not own, operate or control any Supplier services.

2. Scope of Services

Services may include, but are not limited to:

  • Travel management and itinerary design

  • Destination research and consulting

  • Accommodation, transport and experience sourcing

  • Group travel coordination

  • Production and shoot travel logistics

  • On-the-ground coordination (where applicable)

No service is considered confirmed until payment is received and acknowledged in writing.

3. Quotations & Pricing

All quotations are subject to availability and market conditions at time of issue. Prices may change prior to payment due to supplier repricing, currency fluctuations, tax increases or surcharges.

Quotes expire on the date stated.

4. Deposits & Payments

4.1 Non-Refundable Deposits

All deposits are strictly non-refundable. Deposits secure planning time, intellectual property, administrative work and supplier reservations. No work will commence without receipt of deposit.

4.2 Balance Payments

Full balance payment is due by the date shown on the invoice. Failure to pay may result in cancellation and forfeiture of amounts already paid.

4.3 Additional Payments

Any post-confirmation changes, upgrades, added services, or cost increases are payable by the Client. All additional payments are governed by the trip-specific terms outlined on each invoice or proposal.

5. Waiver of Cooling-Off or Withdrawal Rights

To the maximum extent permitted by law, you acknowledge that Tricitie Edition provides customised, time-sensitive professional services that begin immediately upon deposit or written instruction.

You expressly waive any statutory cooling-off period or right of withdrawal that may otherwise apply in any jurisdiction.

All deposits and service fees remain non-refundable.

6. Cancellations & Refunds

All cancellations must be submitted in writing.

Cancellation penalties are determined by Supplier policies and may result in:

  • Loss of deposit

  • Partial refund

  • 100% forfeiture

Tricitie Edition service fees are non-refundable under all circumstances.

Refunds (if applicable) are processed only once received from the Supplier and may take several weeks.

Tricitie Edition may charge reasonable administration fees for processing cancellations or amendments.

7. Supplier Changes or Cancellations

If a Supplier cancels or changes a service, Tricitie Edition will attempt to secure an alternative. Tricitie Edition is not liable for Supplier failure, insolvency, schedule changes or service reductions.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended and may be mandatory for certain trips.

Insurance should cover:

  • Medical expenses

  • Emergency evacuation

  • Trip cancellation/interruption

  • Baggage loss

  • Personal liability

  • Failure to obtain insurance is entirely at the Client’s risk.

9. Passports, Visas & Health

Clients are solely responsible for obtaining valid passports, visas, vaccinations and health documentation.

Tricitie Edition accepts no liability for denied boarding, refused entry, or related losses.

10. Client Conduct

Tricitie Edition reserves the right to terminate services without refund for disruptive, illegal, unsafe or abusive behaviour.

11. Force Majeure

Tricitie Edition is not liable for failure or delay caused by events beyond reasonable control, including natural disasters, war, terrorism, civil unrest, pandemics, government restrictions, airline shutdowns or strikes.

No refunds are guaranteed under force majeure circumstances.

12. Chargebacks & Payment Disputes (Including USA Clients)

Clients must contact Tricitie Edition directly to resolve any billing dispute.

By making payment, you agree not to initiate a chargeback or payment reversal, except in cases of unauthorised or fraudulent card use.

Initiating a chargeback constitutes breach of contract.

In the event of a chargeback, Tricitie Edition may recover:

  • Disputed amount

  • Bank and processing fees

  • Legal and collection costs

Tricitie Edition may also suspend future bookings.

13. Limitation of Liability

Tricitie Edition is not liable for injury, illness, death, property loss, delays, cancellations, or acts or omissions of Suppliers.

Maximum liability is limited to the Tricitie Edition service fees paid for the relevant booking.

14. Intellectual Property

All itineraries, proposals and planning materials remain the intellectual property of Tricitie Edition.

15. Privacy & Confidentiality

Client information is handled confidentially and used solely for service delivery.

16. Binding Arbitration & Class Action Waiver

Any dispute, claim or controversy arising from these Terms or any Services shall be resolved by final and binding arbitration, not court litigation, except where small-claims court is permitted.

Arbitration shall be administered by a recognised international arbitration body (such as AAA or equivalent).

Seat of arbitration: Cape Town, South Africa.


Arbitration may be conducted remotely.

Proceedings must be conducted on an individual basis only. You waive any right to participate in a class action or representative action.

Any claim must be brought within 12 months of arising.

17. Governing Law

These Terms are governed by the laws of the Republic of South Africa.

18. Acceptance of Terms

Payment of any deposit or invoice constitutes full acceptance of these Terms & Conditions.
